Business Visa Overview

How Indian business visas differ from tourist permissions — meetings, conferences, and what usually does not count as business travel.

Visa rules and fees change. Confirm details on the official Government of India visa portals before you apply or travel.

A business visa supports short commercial activity such as meetings, negotiations, conferences, or exploring opportunities with Indian counterparts. It is not a substitute for an employment visa when you will take up a job or be paid locally as staff.

Business versus tourist

Use tourism only for leisure and family visits. If your calendar is filled with client meetings, factory visits, or trade events, declare business and prepare supporting letters that explain who you will meet and why.

Mixing purposes on a tourist permission — for example, “holiday plus sales calls” — can create inconsistency between your form, invitation letters, and what immigration officers hear on arrival.

Documents that often matter

Besides passport, photos, and identity copies, business files commonly include:

  • Invitation or sponsorship letter from the Indian company or organiser
  • Letter from your Malaysian employer explaining the trip
  • Company registration or profile documents when requested
  • Conference registration proof for event travel
  • Return flight and hotel bookings aligned with the meeting dates

Keep letters on company letterhead with clear contact details. Vague invitations that only say “business discussions” without dates or hosts are weaker than specific schedules.

What business visas usually do not cover

  • Taking up employment with an Indian entity
  • Full-time freelance work billed as a local contractor without the right category
  • Long-term project delivery that looks like staffing

If the Indian side wants you on payroll or on a multi-month assignment, discuss employment or project categories early rather than stretching a short business visit.

Application tips

  1. Match the “purpose of visit” field to the invitation language
  2. Align hotel and flight dates with the meeting window
  3. Carry printed copies of invitations when you travel
  4. Avoid last-minute changes that make your form obsolete

After you land

Carry your invitation and local contact numbers. Some visitors register with local authorities depending on length of stay and visa type — ask your host what applies in their city. For longer stays or work, read our employment visa overview next.

Business travellers who still want a short leisure add-on after meetings should keep leisure secondary and within the conditions printed on the visa.
